Stocktake ("we", "our", or "the app") is a Shopify application that helps merchants run randomized inventory audits. This Privacy Policy explains what data we collect, how we use it, and your rights regarding that data.
1. Information We Collect
When you install and use Stocktake, we collect and store the following information from your Shopify store:
- Store information — your shop domain and the name and email address of the user who installs the app (provided by Shopify during authentication).
- Product and inventory data — product titles, variant names, SKUs, inventory levels, unit costs, and location details. This data is synced from Shopify to power the audit workflow.
- Audit records — the name of the staff member who performed each audit, timestamps, expected vs. actual inventory counts, and any adjustments made.
- App settings — your configured preferences such as the number of products per audit, excluded categories, and staff checker names.
2. Information We Do Not Collect
Stocktake does not collect or access:
- Customer personal information, orders, or shipping details
- Payment or billing information (handled entirely by Shopify)
- Browsing behavior, cookies, or analytics outside of the app
3. How We Use Your Information
We use the collected data solely to:
- Generate randomized audit sessions from your product catalog
- Record audit results and calculate inventory adjustments
- Display reports, leaderboards, and shrinkage trends within the app
- Write inventory corrections back to Shopify when you approve adjustments
We do not sell, rent, or share your data with any third parties for marketing or advertising purposes.
4. Data Storage and Security
Your data is stored in a secured PostgreSQL database hosted on Railway. Access to the database is restricted and encrypted in transit. Shopify session tokens are stored securely and used only to authenticate API requests on your behalf.
5. Third-Party Services
Stocktake communicates only with the Shopify Admin API to sync product and inventory data. We do not integrate with any third-party analytics, advertising, or tracking services.
6. Data Retention and Deletion
- While installed — audit history and settings are retained so you can review past audits and reports.
- On uninstall — active sessions and authentication tokens are deleted immediately. Audit history is preserved temporarily in case you reinstall.
- On shop redaction request — all data associated with your store (audits, settings, cached products, and session data) is permanently deleted within 48 hours, in compliance with Shopify's GDPR requirements.
7. Your Rights
Under applicable data protection laws (including GDPR and CCPA), you have the right to:
- Request access to the data we store about your shop
- Request correction of any inaccurate data
- Request deletion of your data — you can uninstall the app at any time, or contact us to request full data removal
- Object to or restrict certain processing of your data
8. Changes to This Policy
We may update this Privacy Policy from time to time. Any changes will be reflected on this page with an updated "Last updated" date. Continued use of the app after changes constitutes acceptance of the revised policy.
